Privacy Policy
The short version
- We only collect what we need to run Meira 16 for you.
- We never sell your data or the data you put into Meira 16.
- The data you add about your clients and staff belongs to your business. We look after it for you.
- You can export your data or delete your workspace at any time.
1. Who we are
Meira 16 is made by MSJ Advertising, a business registered in Ghana and based in Greater Accra ("we", "us"). This policy explains how we handle personal data when you visit our website, sign up for Meira 16 or use it.
We follow Ghana's Data Protection Act, 2012 (Act 843). When we serve people in the United Kingdom or the European Union, we also respect the rights they have under the UK GDPR and EU GDPR.
Questions or requests: email msjadvertising@gmail.com.
2. Two kinds of data
Your account data (we are the controller)
This is data about you as a Meira 16 user: your name, email, phone, sign-in details, billing records and how you use the app. We decide how this is used, so we are responsible for it.
Your workspace data (your business is the controller)
This is everything your business adds to Meira 16: clients, leads, deals, invoices, tasks, staff records, payroll, messages and emails. Your business decides what goes in and why, and we only process it on your instructions to provide the service. If you are a client or staff member of a business that uses Meira 16 and want to access or change your data, please contact that business first. We will help them respond.
3. What we collect
| What | Examples | Why |
|---|---|---|
| Account details | Name, email, phone, password (stored scrambled, never readable), birthday if you add it, profile settings | To create your account, sign you in and keep it secure |
| Workspace details | Business name, country, industry, team members and their roles | To set up and run your workspace |
| Billing records | Plan, amount, currency, payment reference, the last four digits and type of a saved card | To take payments, renew plans and keep records the law requires. Full card numbers go straight to Paystack. We never see or store them. |
| Connected accounts | Access tokens for Gmail, Microsoft 365 or another mailbox, Google Calendar, WhatsApp Business, Zapier and API keys you create | Only to do what you connect them for, such as sending and reading email from inside Meira 16 |
| Usage and device data | Sign-in times, pages used, browser type, IP address, error logs, notification settings | To keep the service secure, fix problems and improve it |
| Messages to us | Support emails, contact form messages, feedback | To reply and help you |
Meira 16 is a business tool and is not meant for anyone under 18.
4. Our legal reasons for using your data
- Contract: to provide the service you signed up for.
- Legal duty: to keep financial and tax records.
- Legitimate interests: to keep Meira 16 secure, prevent fraud, fix bugs and improve the product, in ways you would reasonably expect.
- Consent: for marketing emails and optional features such as push notifications. You can withdraw consent at any time.
5. Meira, the AI assistant
When you ask Meira a question, we send your message and the workspace details needed to answer it to an AI provider (Google Gemini or Anthropic Claude). The answer comes back to you. We do not use your workspace data to train our own AI models. We keep a record of how much the assistant is used (not what you asked) so we can manage costs. Only use Meira for information you are comfortable having processed this way.
6. Who we share data with
We never sell personal data. We only share it with trusted service providers who help us run Meira 16, and only as much as they need:
| Provider | What they do | Where |
|---|---|---|
| Supabase | Database, sign-in and file storage | London, United Kingdom |
| Cloudflare | Hosting and protecting the app | Global network |
| Paystack | Card and mobile money payments | Nigeria, Ghana and others |
| Resend | Sending system emails such as invites and reminders | United States |
| Google and Anthropic | AI assistant (Meira) | United States |
| Google, Microsoft, Meta (WhatsApp), Zapier | Only if you connect them | United States and others |
We may also share data if the law requires it, to protect our rights or users' safety, or as part of selling or merging our business, in which case this policy will still apply.
7. Sending data outside Ghana
Our main database is in London. Some providers are in other countries. When data leaves Ghana, we use providers with strong security and contracts that protect your data, as Act 843 requires.
8. How long we keep data
- Workspace data: while your workspace is open. If you delete it, we remove it from the live system straight away and from backups within 30 days.
- Account data: while you have an account, then we delete it within 30 days of you asking us to close it.
- Billing records: up to 6 years, because tax law requires it.
- Security logs: up to 12 months.
9. How we protect data
- Data is encrypted while it travels (HTTPS) and while it is stored.
- Each workspace is walled off at the database level, so one business can never see another's data.
- Inside a workspace, roles control who sees what. For example, staff cannot see payroll or revenue.
- Optional two-step sign-in with an authenticator app.
- Secret keys for connected services are kept in an encrypted vault.
No system is perfectly secure. If a breach affects your personal data, we will tell you and the right authorities as quickly as possible, as the law requires.
10. Your rights
You can ask us to:
- show you the personal data we hold about you, and give you a copy;
- correct anything that is wrong;
- delete your data, unless we must keep it by law;
- stop or limit how we use it, including for marketing;
- send your data to you or another service in a common format.
Email msjadvertising@gmail.com and we will reply within 30 days. You can update most of your details yourself in Settings, and export your clients and tasks from the app.
If you are unhappy with how we handle your data, please tell us first so we can fix it. You also have the right to complain to the Data Protection Commission of Ghana (dataprotection.org.gh). If you are in the UK, you can complain to the Information Commissioner's Office (ico.org.uk).
11. Cookies and storage
The Meira 16 app only uses storage that is needed to keep you signed in, remember your settings and let the app work offline. We do not use advertising cookies in the app. If our marketing website uses analytics, it will ask for your permission first.
12. Marketing
We send service emails you need, such as trial and billing reminders. We only send marketing emails if you agree, and every one has an unsubscribe link.
13. Changes
If we change this policy in a way that matters, we will tell you by email or in the app before the change takes effect. The date at the top shows the latest version.
